As a key member of our team, you'll be responsible for managing administrative tasks, handling requests and queries, arranging meetings and appointments, and making travel arrangements. You'll also be responsible for building and recording processes across all aspects of the business, including HR, Project Management, SOPs, Onboarding, and ETX. If you're a highly organized and detail-oriented individual with excellent communication skills, we'd love to hear from you. **Core Responsibilities** * Work 1:1 with the CEO and founder of the company to help manage administrative tasks for him and his team of 16 contractors * Handle requests and queries appropriately, ensuring timely and effective communication * Arrange meetings and appointments, and catering for meetings as needed * Make travel arrangements for contractors and visits as needed * Enter service requests in mHelpdesk software and follow through with the service event until completion * Monitor bids that are won or lost * Build and record processes across all aspects of the business, including: + HR: recruitment, onboarding, employee relations + Project Management: project planning, execution, and monitoring + SOPs: developing and implementing standard operating procedures + Onboarding: new employee orientation and training + ETX: employee training and development * Help take the admin duties off the shoulders of the CEO and handle data entry, including: + Logging calls + Inputting data + Using service software + Tracking POs, receipts, and other financial documents **Qualifications/Skills** * 5 years of experience as an executive administrative assistant, senior executive assistant, or in other secretarial position * Full comprehension of mHelpdesk software and procedures * Proven history of quick response time to client or coworker requests and admin needs * Exemplary planning and time management skills * Strong experience working independently * Up-to-date with advancements in office gadgets and applications * High-level verbal and written communication skills **Essential Qualities** * Exceptional organizational and time management skills * Ability to work independently and as part of a remote team * Strong communication and interpersonal skills * Ability to adapt to changing priorities and deadlines * High level of discretion and confidentiality * Ability to learn and adapt to new software and systems **Preferred Qualifications** * Experience working in a fast-paced, dynamic environment * Experience with project management software and tools * Experience with data entry and record-keeping * Experience with customer service and support * Certification in administrative assistance or a related field **Career Growth Opportunities and Learning Benefits** As a member of our team, you'll have the opportunity to learn and grow with our company.
